Hay Group is a global firm of management consultants, focusing on business
and organisational performance improvement. We do this through a focus on
the people and organisational related issues that drive performance.
As a result of the promotion of our current records officer to our global
knowledge management team, we are now looking for someone to replace her
and join a small team in a fast moving and exciting environment for a world
class consultancy. Across the world, Hay has some 74 offices, but here in
the UK, we have some 300 staff, across 8 UK, Indian and Middle Eastern
offices.
The Knowledge and Information Team (KIT) of six is lead by a knowledge and
records manager, with two senior and one junior business researchers and a
database administrator. We work closely with the London based Global
Knowledge Manager and take the lead on providing a projects and service
lines enquiry service to the rest of the Hay Group.
KIT consistently wins high praise from our colleagues and last year, for
the second year running, scored the highest support team satisfaction
rating in our annual staff climate survey. All staff, whether in the
Consultant or Support function receive KIT induction and training sessions
when they start with Hay UK. And we have a simple KIT ethos - if it is
there, we'll do our best to get it.
We work in a Lotus Notes intranet environment, managing or supporting some
90 UK databases covering projects, expertise areas, processes, and topics,
plus Access databases for Records and Client research and a Cardbox
journals and bookstock database. As well as our in-house databases, we also
subscribe to Factiva and Datamonitor, but also use traditional paper based
sources and the telephone, as well as the internet.
The atmosphere here is relaxed, but is busy and often deadline driven.
Enquiries range from the number and value of our projects carried out in
change management over the past two years to the number of councils with
ALMOs in place.
Our work is wide ranging and challenging and as we are a small Team,
everyone is expected to and is able to work across all knowledge and
information areas. The person appointed will spend about 40% of the time on
paper and electronic records management, but will also maintain the
Proposals and associated libraries, supply documents and information on
projects and service lines in answer to Hay UK and worldwide enquiries,
verify Client details for our databases and help deal with any FOIA or DP
questions.
To do all this, the person appointed will be expected to develop an indepth
knowledge of Hay service lines and projects - after which, it's up to
you..... KIT doesn't sit around waiting to be asked to provide services -
we listen to our customers and try to anticipate ways to help them. In the
last two months, we have launched a comprehensive database listing contents
pages, journals we subscribe and which you can get free and an election
manifestos and policies database. Currently, we are working on a database
of information for tenders, a complete redesign of the navigation of our
intranet and a training programme on internet searching skills. If you want

The Team is very collaborative and supportive - so people enjoy working
here - the last two to leave merely moved to other teams in the London
office and the one before that only went because she had to move elsewhere
in the UK.
You will be computer literate and have, or be comfortable developing, an
indepth knowledge of Lotus Notes applications from the users' point of
view.
You will have good communication skills and be at ease dealing all levels
of employees from secretaries to Hay Group Executive members,
You will be sensitive to the different operating cultures of all the
countries in the Hay Group world.
You will have an interest in and awareness of sources for client and
business information.
