I should like to clarify some of the points regarding EASY which were raised
recently on the list.
EASY seamlessly integrates satisfying ILL requests via electronic document
delivery (PDF) into the normal ILL request management process.
Articles in the ILLOS web request forms are automatically checked for
availability from ingenta. This is not a journal check, but an article
availability check, an article is either AVAILABLE or NOT-AVAILABLE from
ingenta.
AVAILABLE
If the article is AVAILABLE it can be supplied either FREE OF CHARGE or at the
standard EASY price (?4.19 incl vat). Ingenta has sufficient data to make the
distinction because it has details of the subscriptions and supply rights of
the institution making the request.
FREE OF CHARGE articles can be delivered (depending on the users choice during
the web session) either immediately to the users web browser, or by email. EASY
price articles are all delivered by email. In all cases the format is PDF.
Documents are sent to the users mailbox, unless for whatever reason the ILL
staff want them sent to ILL.
ILLOS can be configured so that individual/all users from the web session,
either can order articles at the standard EASY price without reference to ILL
staff, or their requests must be authorised by ILL staff. Requests from
users not authorised to order EASY items at the standard EASY price come into
ILLOS for processing by ILL staff. Requests accepted by ILL can be ordered from
EASY or other suppliers. (Local arrangements might work out cheaper than
accepting the EASY offer). Note that for FREE OF CHARGE articles , the status
of the user is irrelevant. All authenticated users are informed in their web
session if the article is available immediately either by downloading or email
delivery.
NOT-AVAILABLE
Requests for articles coming into ILLOS with a failed availability check ( i.e.
not available from EASY) are processed in the normal way. However, they can be
edited and resubmitted to ingenta for further check(s) if for example it is
thought that they should be available via EASY the availability check failed
because the
user entered incomplete/inaccurate information.
EASY BENEFITS
For the end user there are three benefits:
No copyright signatures are required
Almost instantaneous delivery from the time of ordering
The PDF document can be retained (for personal use) on the user's pc
NON-ILLOS SITES
Someone raised the point about non-ILLOS customers. The project was funded on
the basis of ingenta as the supplier and ILLOS as the ILL Management System.
It was quickly acknowledged that it would be desirable to make provision for
non-ILLOS customers and Lancaster offered to provide an EASY Application Server
for non-ILLOS customers and the additional funds required were requested, but
no decision has been reached yet.
Over the next few months the EASY enabled version of ILLOS will be released to
the 34 eligible ILLOS. Contact me if you want additional details of have any
