Hi,

We'll be undertaking a project next year to migrate all user mailboxes from on-premise to Exchange Online, and I'm wondering if anyone has any information management in Exchange Online tips that they could share please? I want to present this as an opportunity for users to get on top of email management and implement new habits in Exchange Online using the additional functionality available.

I listened in to the October IRMS roundtable on approaches to email management, and following that I'm particularly interested in the idea that perhaps as Records Managers, we should look to embrace Microsoft's preferred option of managing emails in Exchange rather than relocating them into SharePoint or elsewhere. If anyone is doing this, I'd be grateful for your views on how this is going please. I think my biggest concerns with this approach are that it goes against what we always say about managing information as a series, and it means a lack of access - all users expect their own individual mailbox and this has obvious benefits in terms of direct contact and relationship management, but it also means that nobody else can access what an individual holds in time of absence, and so promotes even more silo'd working. It also reinforces the requirement on the user to proactively manage their emails, so any thoughts on how we can help them do this would be appreciated.

We've already got some ideas including getting labels in place so that certain emails can be tagged with short retention periods, and making other labels available so that things are retained or deleted as necessary. I suspect we are unlikely to have a retention period on all email (although obviously I'll be recommending one), and we won't have compliance add ins that can drag and drop from Exchange to SharePoint/elsewhere.

We are likely to have an E3 equivalent licence. We will also be looking into O365 Groups much more next year with a view to (hopefully) simplifying management of all our 365 content (Teams in particular), so this will have a knock on effect with email management too.
