Subject: Questions re scheduling exams to avoid dates (which you know in advance)
 
Dear all
 
Now that our main exam series has ended, we will shortly be planning and organising for the next one.  Next year, one of the things we want to introduce is to ask our students prior to when we start the exam scheduling process (around January time) if there is anything that they want us to bear in mind, or pay particular attention to for when we schedule the exams.  We do have something written in our regulations (see below) but this is often missed by our students:

Obviously, there will be things that we cannot commit to, such as scheduling exams around a holiday, a family wedding, a sibling's graduation, a funeral, a student's request to have their exams spread out etc.  However, there may be other things (religious belief) where we can schedule exams around a particular date.
 
A few questions that I have for you all is:
 
 
-       Does your institution ask students this?  We take religious commitments into consideration – this is included on our website and our deadline for notifying us is early October.  Any other requests would have to be considered through the notification of exceptional circumstances policy exams wouldn’t be rescheduled for an individual student but the School may choose to offer an alternative assessment
 
-       If yes, when do you send the communication to students?  This is on our website, Schools and Student Support services are also aware
 
-       Do you provide a list of what is acceptable and what is not acceptable? No
 
-       Do you provide a guarantee that you will schedule exams in such a way so as to avoid particular dates? Only for those students with religious commitments.  We aim to timetable exams for all students with a clear day between exams, although it isn’t always possible.  We also aim to schedule all final year exams in the first 2 weeks of the summer exam period (to allow adequate time for marking etc prior to graduation)
 
-       If no to the above, how do you manage the student expectation? All the information is included on our website.
