We then use its API to pipe data out to museum and archive websites via a WordPress plugin that we’ve been developing with help from Richard Light.

Editing data in Modes on the cloud server is possible through its Windows user interface, but I find it a bit slow. Richard once showed me an in-progress development of a web based interface that looked really promising.

Ahhh. I’m slightly surprised MODES can’t be made to work even from cloud servers as for a lot of businesses, whether the servers are next door or online, doesn’t make a tremendous deal of difference and there are always ways to circumnavigate networking issues. I’d imagine the issue resides in the network protocol and communications methodology MODES uses between server and client, in that there’s no problem with the MODES server being in the cloud but it communicating to your physical computers in the office etc from the cloud servers and convincing them they are on the same network that is probably a step too far for MODES.

 

I’m speculating as I don’t know the technical reason. All I’d say in defence of cloud servers, is that it’s possible in theory to see no difference from most people’s perspectives and servers/software to having them in the cloud or being in the same building.

 

However, there will always be the odd piece of software that won’t play ball and I guess MODES is one perhaps 😊

In this instance we’re moving away from MODES as we’re moving all of our servers to the cloud (which sounds pleasingly whimsical) but MODES can’t work in this fashion. I don’t understand all the technical details as this is being managed by our Collections Information Officer but I am aware of the issue.

When one says MODES isn’t “cloud compliant” what is one actually referring to?

 

Generally cloud complaint means you can’t use it online or, more commonly in IT world, that the data isn’t stored in the cloud.  Technically one can backup modes data to the cloud by using OneDrive or DropBox and is a prudent thing to do.

 

I assume one in this case by saying ‘cloud compliant’ means that there’s no web version although that’s not strictly true as there is a plugin for the web for modes that is free (limited features) or can be paid for a more richer plugin. I’m familiar with the pros and cons of MODES through my CultureNL job and don’t think it’s suitable for the smaller collections in my other workplace, not least because of the ongoing costs (although these are substantially lower than Vernon/Adlib).

 

The free/cheaper versions, which offer good options for getting collections online, seem more attractive and I’ve been using the Collections Trust resources to put together a list of possible CMS options (e.g. eHive, Adlib Lite, CollectiveAccess) – but the theory doesn’t always match up with the practice so it’s really helpful to get feedback from people who have actually used these systems.

 

Emma – I’ll pick up your notes on eHive once I’m back in my other post – many thanks for that!

I have used both systems (as well as Adlib some years back) and much prefer eHive personally; though I believe MODES is still the most common collections management system in the UK at present.

Afternoon all – I posted this enquiry several months ago but didn’t get much response so, ever hopeful, am trying again!

 

Thanks to those who replied to my email below – it seems that CollectiveAccess is popular in North America but not being used much (if at all) in the UK. I’d now love to know if any of you use eHive and, if so, what are the pros and cons? I should’ve added to my previous email that we’re currently using Adlib Lite but rather than upgrading we’re looking at cheap(ish) options as the collection in question is relatively small. Hoping to pick the collective SHCG brain about CollectiveAccess cataloguing software (http://www.collectiveaccess.org) as a potentially inexpensive solution to setting up a joint museums and archives collections management system…

 

Has anyone out there used or researched it? I’m looking for pro and cons, particularly in terms of SPECTRUM-compliance. I know CollectiveAccess isn’t regarded as officially compliant due to the software being open-source but would appreciate any feedback on how much of an issue this is in reality. Is the system as flexible as advertised? Are there major pitfalls to avoid? Any advice/feedback appreciated!
