2 x 1 year Archives and Records Management Assistants

This is an exciting opportunity for two enthusiastic and self-motivated individuals to apply for our Archives and Records Management Assistants  posts.

You will be a graduate or about to graduate and interested in pursuing a career in archives and/or records management, or intending to continue your studies on one of the post-graduate archive/records management courses. The position will provide thorough training in all aspects of the profession and will commence in late August for one year. As this is a temporary post the individuals will be required to register with Unilever's preferred agency. 

The nature of the work will be varied involving answering enquiries, inputting data into the archives and records management databases, promotion of the service via social media and exhibition design, cataloguing and digital preservation. Unilever’s archive dates back to 1292 and encompasses all areas of a global business. The cutting edge records management service provides both storage in Port Sunlight and support and training to our globally based customers. The successful candidates will have the opportunity to develop their archives and records management skills in a supportive environment. Full training will be given in all aspects of the role. There may also be the opportunity to travel to other Unilever sites within the UK.

Salary: £20,000.

Job Specification Archives and Records Management Assistants

We require two Archives and Records Management Assistants to support the work of the Unilever Art, Archives & Records Management (UARM) team in Port Sunlight.  These are temporary posts, tenable for 12 months. Applicants should be interested in pursuing a career in archives and/or records management, or be intending to apply for one of the post-graduate archive and records management courses. The post holders will be based at the repository in Port Sunlight (between Liverpool and Chester), and will be employed by Manpower, Unilever’s preferred supplier for temporary contract staff. They must be prepared to travel to London and other Unilever sites occasionally.


Purpose of the post

	To provide administrative support to the UARM team.
	To help increase awareness of the value of the archive and records management service.
	To assist in the development of databases essential for accessing the archive collections and managing the records management storage facility.
	To assist the UARM team in delivering key Archive and Records Management services by undertaking routine tasks and assigned project work.

Skills/competencies and experience required

Essential
	An honours degree.
	Excellent communication and interpersonal skills.
	A good team player, but able to work on their own initiative and set their own priorities.
	Familiarity with Windows based software.
	Accuracy and an eye for detail.
	Organised. 
	An interest in business archives and records management.
	Calm under pressure.
	Flexibility.
	Good level of fitness and an ability to carry boxes.
	Willingness to travel, if required.
 
Preferable
	Previous experience of archive/records management work.
	Previous experience in a business environment.
	Modern European languages.

Duties

	To file in-house magazines, photographs, advertising and packaging as received and input the details in the CALM database.
	To input, on a daily basis, enquiries and accessions received in CALM.
	To update information in other databases and spreadsheets, as required.
	To box list accessions when received and other collections as required.
	To open up and re-lock the strongrooms daily.
	To monitor environmental conditions in the strongrooms and take daily temperature and relative humidity readings.
	To help identify conservation needs in the archive collections. 
	To be responsible for basic preservation work, such as document cleaning, reboxing and the creation of manila folders.
	To assist in researching and answering enquiries.
	To supervise researchers.
	To undertake large photocopying orders and scanning.
	To be responsible for the conservation supplies cupboards and ensure that orders are received.
	To be responsible for the receipt of new internal publications.
	To assist in the transfer of records from Unilever London departments and other clients to the Records Management Service Port Sunlight (RMSPS), liaising with departmental record officers and post room staff.  To carry out physical checks on boxes and accompanying transfer sheets to ensure that boxes have not been over-filled, contain "like" material and that duplicate items and non-approved files have not been included.  
	To re-box and re-package files as necessary.
	To assist in compiling and updating the documentation of records transferred to the RMSPS, whether electronic or paper, as well as any other finding aids.
	To undertake retrievals and loans according to agreed procedures.
	To answer any enquiries relating to the items stored with the RMSPS.
	To box-list accessions after appraisal by an archivist.
	To participate in the Records Management programmes for Unilever London and the operating companies, as required. 
	To monitor environmental conditions in the strongroom. 
	To open up and lock the building and mobile shelving.
