Totally Jo, however I think HR and management are letting you do some of their work!    A robust process and manager education is the key in the long term, so that we get those early referrals….

Point well-made and I concur, not always of value but to my mind just having sight of the Fit Note is useful as part of your overall consideration, to on-board or refute as we can…

 

If HR don’t supply the information in a timely fashion allowing us to make timely interventions i.e. signposting, self-referrals under private medical schemes (that they forget about etc.)  whilst still absent, keeping in touch with the individual with their consent, it would make the OH job more difficult and just waiting for management referral to come in is perhaps too late?

 

If this makes sense!

Hi All

    I can appreciate that it is difficult to record stats etc if you are a lone practitioner and have no access to an OH system such as OPAS or Cohort which will help with trend analysis.  However  managers and HR should be monitoring absence and recording data.  To me, our role is to determine fitness to work and advise on adjustments.   I wouldn’t take what a GP writes either.  They are there to advocate for and advise their patients where as we are also there to consider the  impact on the organisation we work for as well.  Over the years I have had GPs sign people off sick when they are clearly fit to work and vice versa,  we have to remember that GPs get next to no OH training and can also come out with some of the most ridiculous suggestions for adjustments because they don’t have the time or the skills framework to discuss the tasks involved in the role.

Hi all

 

When they appear before return to work I find them very useful in planning a phased return.

I think it increases client confidence in OH when they feel we are taking account of GP advice (if appropriate).

I don't record them though.

I don’t usually ask for them to be honest… A referral form tells me the reason for absence and history from employee is obtained at appointment.

Good morning all

 

Currently HR scan Fit Notes to OH by Secure file transfer, the Fit Notes are for us (OH) valuable in supporting proactive attendance i.e. prompt for OH intervention at early stage for musculoskeletal issues and mental health.

 

We also use the Fit Notes which we capture on a spreadsheet for trend analysis by individual (again early intervention management, recall registers etc. – not exhaustive list).

 

Fit Notes can be very informative in terms of diagnosis as on occasion it doesn’t mirror the individuals ‘reason’ for absence…

 

HR have historically been poor in sharing information regarding absence and this is the only way we are more or less on top of an individual being absent, initiating early intervention management etc. The HR software system should have absence recorded on day one of the absence but this doesn’t happen in a timely fashion, equally when the individual has returned but is sitting as an open absence (OH have to chase this)… With OH being aware of the absence we can make a positive impact.

 

HR are today questioning the justification in sending Fit Notes to OH under GDPR which for me is critical to OH and in proactively supporting attendance, I would like to know your views in terms of justification for us to continue receiving the Fit Notes or do you believe the HR view is correct under GDPR and they shouldn’t be scanned to OH?
