Hi all


When they appear before return to work I find them very useful in planning a phased return.

I think it increases client confidence in OH when they feel we are taking account of GP advice (if appropriate).

I don't record them though.

I don’t usually ask for them to be honest… A referral form tells me the reason for absence and history from employee is obtained at appointment.

Good morning all

 

Currently HR scan Fit Notes to OH by Secure file transfer, the Fit Notes are for us (OH) valuable in supporting proactive attendance i.e. prompt for OH intervention at early stage for musculoskeletal issues and mental health.

 

We also use the Fit Notes which we capture on a spreadsheet for trend analysis by individual (again early intervention management, recall registers etc. – not exhaustive list).

 

Fit Notes can be very informative in terms of diagnosis as on occasion it doesn’t mirror the individuals ‘reason’ for absence…

 

HR have historically been poor in sharing information regarding absence and this is the only way we are more or less on top of an individual being absent, initiating early intervention management etc. The HR software system should have absence recorded on day one of the absence but this doesn’t happen in a timely fashion, equally when the individual has returned but is sitting as an open absence (OH have to chase this)… With OH being aware of the absence we can make a positive impact.

 

HR are today questioning the justification in sending Fit Notes to OH under GDPR which for me is critical to OH and in proactively supporting attendance, I would like to know your views in terms of justification for us to continue receiving the Fit Notes or do you believe the HR view is correct under GDPR and they shouldn’t be scanned to OH?
