In April & May 2018, the University of Westminster Records & Archives team will be hosting two one-day workshops looking at issues surrounding the management and preservation of digital records. The workshops are funded by Jisc as part of a Research & Data grant, aligned to their Research Data Shared Service pilot project. We are seeking 15-20 participants from institutions who already engaged with digital preservation work. The workshops will be software agnostic, seeking instead to consider some of the wider theoretical issues around the management of digital records. Both workshops will be held at the University of Westminster, 309 Regent Street, London, W1B 2HW and will run from 11am-4pm. Lunch and refreshments will be included. Workshop 1: Wednesday 18 April 2018 Digital records often need to be transferred to an archive earlier than paper records might usually be transferred, in order to ensure their preservation. This first workshop will look at some of the practical, theoretical and legal issues that can arise from archives holding records that are still considered current, or semi-current, by the institution. Issues we hope to consider in this workshop include: • Creating trust in digital recordkeeping • Legal and financial implications of the early acquisition of records • Relationships with IT departments and record creators • Transfer of non-static datasets such as databases Workshop 2: Wednesday 16 May 2018 Digital records are often accessioned in greater quantities than paper records, and with a more urgent need to be processed quickly. This second workshop will consider how well traditional appraisal theory and practice can be applied to digital records, and how we document these processes. Issues we hope to consider in this workshop include: • Reviewing large quantities of documents • Making appraisal decisions on recently created records • Documentation of appraisal processes • Impact of record formats on appraisal decisions Both workshops will be held under the Chatham House Rule (see: https://www.chathamhouse.org/about/chatham-house-rule) and any reports or articles resulting from them will anonymise participants’ contributions. While we would ideally like individuals to attend both workshops (or to have the same institutions represented), we are also happy to accept applications from individuals who are only able to attend one.
