Job Title:           Archivist

Responsible to: Bridge Master

Context and Purpose of Job
Clifton Suspension Bridge Trust (CSBT) is seeking to appoint a fixed-term archivist for the delivery of an archive and records management project.  The initial appointment will be on a one-year contract.
CSBT is looking to appoint an archivist who recognises:

  *   The extent and content of the CBST's archives, records and 3D collections
  *   The processes and procedures involved in working at a high level
  *   The current physical conditions of the collections
  *   CSBT's current status regarding record management and cataloguing
  *   The current and future aims of the CSBT regarding its collections, both for internal use (e.g. as engineering resources) and external use (e.g. loans, education and outreach)
  *   The CSBT's aims regarding showcasing its collections
The archivist will advise on the most relevant processes for implementing these actions in a timely and cost-effective manner.

The Clifton Suspension Bridge, which spans Bristol's Avon Gorge, has been the symbol of the city for almost 150 years.  The Grade I listed structure welcomes more than 65,000 visitors every year, and in December 2012, the Heritage Lottery Fund awarded £595,000 for a new Heritage and Learning Centre.  Clifton Suspension Bridge is a Charitable Trust.  The archive consists of drawings, photographs, videos, ledgers, inspection reports, technical project files, as well as 3D objects.

The aim of the CSBT archive and records management project is to improve the organisation's ability to locate, access, manage, govern, utilise, preserve and share their extensive collection.  The project will embed an enduring and over-arching records management and archives process.  The work of the Archivist will provide the organisation with a deeper understanding of the various organisational elements, maintain and preserve the history of the bridge, make historical records accessible and searchable, and generate greater public engagement.

The Archivist will be responsible for undertaking a collection review, implementing a preservation programme, cataloguing archives and records, assisting with working towards Museum accreditation, undertaking modern records management, implementing and managing digitisation projects, undertaking policy and strategy development, implementing education and outreach programmes, undertaking funding applications, and recruiting and managing volunteers.

Job Description: Archivist
Duties: Collections Review and Preservation

  1.  Carry out a collections preservation review to identify ongoing and (at a high level) specific preservation and conservation requirements, including at-risk items, in line with PD 5454 and/or SPECTRUM.
  2.  Undertake long-term planning for ongoing preservation and storage, including implementing and managing a re-packaging and re-boxing programme
  3.  Advise on long-term and alternative storage options
  4.  Work with a qualified conservator to identify specific conservation requirements, and to support on-going conservation work
  5.  Prioritise archives for future digitisation
  6.  Feed recommendations into a data management strategic plan
  7.  Assist with working towards Museum accreditation for the Visitor Centre

Duties: Cataloguing and Records Management

  1.  Capture existing finding aids and archive material in catalogue according to ISAD (G) and/or SPECTRUM standards, meeting the requirements of archive users, engineers and contractors using data for maintenance, inspections and technical projects
  2.  Identify and de-accession duplicates, and undertake weeding and appraisal
  3.  Develop a cataloguing strategy for both archives and modern records (including born-digital records), in conjunction with CSBT requirements
  4.  Develop a records management system for future modern records and work with the Bridgemaster to achieve a consistent record of maintenance work
  5.  Manage the implementation of the website front end system for searching and accessing catalogues
  6.  Feed recommendations into data management strategic plan

Duties: Digitisation

  1.  Develop a digitisation programme to provide digital access to satisfy stakeholder requirements
  2.  Identify priority material for digitisation
  3.  Implement a digitisation project, with volunteer support
  4.  Identify a strategy for achieving digitisation, and consider outsourcing providers
  5.  Capture metadata requirements of digital version of data
  6.  Identify IT requirements for access to, storage and permanence of digital data
  7.  Undertake appropriate funding applications
  8.  Feed recommendations into data management strategic plan

Duties: Policy Development

  1.  Develop top-level policy and strategies for archives and records management, which can contribute to and reflect organisational purpose and objectives, and existing policies and standards
  2.  Develop strategic plans for modern records management, including retention schedules
  3.  Develop policies for Data Protection Act (1988), copyright and Freedom of Information (in conjunction with existing CSBT policies)
  4.  Develop cataloguing, conservation, and digitisation policies
  5.  Develop and implement collections policy
  6.  Liaise with trustees and board members where necessary

Duties: Education and Outreach

  1.  Develop, build on and implement heritage archive projects in Bristol and beyond
  2.  Develop a programme of activities to promote the collection to the public, visitors, schools, colleges, universities, and community groups
  3.  Identify how archive material can be provided and interpreted to enable education and outreach activities (e.g. digitisation)
  4.  Identify systems to enable access to online and physical collections and records for digitisation
  5.  Collaborate with other archives and institutions, e.g. University of Bristol Special Collections, Brunel Institute

Duties: Funding

  1.  Identify appropriate funding opportunities going forwards to ensure the longevity of the Archives and Records project
  2.  Prepare and submit funding bids

Duties: Volunteers

  1.  Identify elements of the archive project in which to involve volunteers
  2.  Recruit, train, manage and mentor volunteers to assist with the archive project

Relevant Qualifications

  1.  Good relevant honours degree
  2.  Post-graduate qualification in Archive Administration (or an equivalent field)
  3.  Member of The Archives and Records Association (or equivalent)

Relevant Experience, Skills and Knowledge
Essential

  1.  Experience of implementing collection reviews for preservation, conservation and digitisation purposes
  2.  Sound knowledge of archive and collections preservation and standards, including PD 5454 and SPECTRUM
  3.  Familiarity with implementing repackaging and re-boxing programmes
  4.  Experience of working in partnership with conservators
  5.  Sound knowledge of international cataloguing standards, such as ISAD (G) and SPECTRUM
  6.  Experience of implementing cataloguing programmes and strategies
  7.  IT literate with experience of working with databases (including Excel)
  8.  Experience of modern records management, including appraisal, weeding, implementing record retention schedules
  9.  Good working knowledge of Copyright legislation, Freedom of Information Act and Data Protection Act (1988)
  10. Experience of developing and managing digitisation programmes, including outsourcing options
  11. Sound knowledge of front end of cataloguing and digital records, and digital requirements for website
  12. Experience of identifying and submitting funding bids
  13. Experience of working with a variety of stakeholders, including trustees and board members
  14. Familiarity with developing top-level policies and strategies, including collection policies
  15. Familiarity with developing educational outreach programmes and activities, including interpretation
  16. Experience of collaborating with external archives and institutions
  17. Experience of recruiting, managing and mentoring volunteers on specific projects
  18. Minimum of five years' professional experience working in an archive environment
  19. Experience of engineering, building or architectural archives.

Desirable

  1.  Experience of working with 3D and museum collections
  2.  A basic technical knowledge of architecture, buildings and engineering

JOB TYPE / BENEFITS:
Full time - one-year Contract with six-month probationary period but funding for further years will be sought
Hours of work - 37 hours/week Monday to Friday
20 days' holiday excluding Public Holidays
Trust's Workplace Pension Scheme
Based at the Clifton Suspension Bridge Offices, Leigh Woods, Bristol.

SALARY:
£22,500 paid monthly
