This is certainly feasible and your reference to Narratives is very relevant - it was developed for managing this type of content. To make the image and data processing easier perhaps you could use the Axiell Sapphire tool that has configurable options for digitisation projects (http://alm.axiell.com/solutions/technology/sapphire).

 

We built this in collaboration with the Natural History Museum specifically for digitisation and data cleaning projects.

 

I will contact you off-list with more details about Sapphire and Narratives.

Subject: Collections Management Systems and object history/research - any best practice case studies?

 

Hi all,

 

This one is a little more collections management than ICT but I’m sure there’s someone out there who can help.

 

Here at Edinburgh Museums I’m looking into using our collections management system (KE EMu) as a one-stop shop repository for all the massive amount of paper-based files we have in object history files, exhibition files and general thematic/collections based research. EMu has a great section called Narratives which can be configured to store any sort of data linked to any other record in the system, so I think this will be a good place to start.

 

However I wondered if anyone has experience of using their CMS to capture the core of a paper filing system. Increasingly this information is born digital so will be easier to reconcile with CMS records. Is scanning documents and uploading to the CMS the way forward? Or is a clear bibliographic reference enough as long as the paper archive itself is well located, indexed etc? I’d be interested to hear your thoughts before I embark on this potential beast of a project.

 

And slightly off topic (forgive me), anyone gone through all their paper archive and created retention schedules, sifted out the chaff etc?
