Thanks for this information.  

I have now spoken to a couple of people who are using search software and it would appear that the searches can be refined far more than they used to be.  The return can still include responses that are not so relevant such as emails that ask if someone is available for a meeting - the sort of thing I do not usually include in a reply to the requester as I don't consider that to be personal data - but at least it doesn't bring back the sort of inappropriate returns that you were getting before.

It may be that we go down the route of a software solution as it was not something I had considered previously but I now have some very useful comments to base my review upon.
