FIRST CIRCULAR - Call for Papers and ONLINE Registration Form

Dear Colleagues, Dear Friends,

The Board of MELCom International is glad to announce that the 38th annual conference will take place over three days, from Monday 30^thMay 2016 to Wednesday 1^st June 2016 (inclusive), at the Leiden University Library (http://www.library.leiden.edu/) in The Netherlands.

The local conveners are Birte Kristiansen and Arnoud Vrolijk. Our hosts are also planning to organize an excursion on Thursday 2^nd June 2016.

As previously, the conference sessions will be dedicated to the following topics:

Librarianship, collection development and acquisition policies
Cataloguing policies and practices
Catalogues and bibliographies
Electronic resources and digitisation projects
Digital humanities & Middle Eastern collections
Cooperation projects between libraries holding Middle Eastern collections
History of libraries, ownership and readership
Manuscripts, rare books and documents
Current issues of information science in Middle East area studies

…and any other aspect within our fields of interest.

ONLINE REGISTRATION & PAPERS PROPOSALS:

All those interested in participating in the conference either as a speaker or as an attendee are required to fill the Pre-registration Form online before Friday 5^th February 2016: this form is available on the MELCom International’s website under the Conferences’ tab (Conferences > Forthcoming > Online Registration Form). All preliminary registrations will ONLY be processed through this online form.

Those wishing to present a paper during the conference are invited to insert an abstract (10-15 lines) in the box available for that purpose on the online registration form. Please note that the working languages of the MELCom International are English and French only.

For any further information about the registration process, please send your enquiries to the Secretary at [log in to unmask].

Requests for grants: MI can afford to provide a couple of modest grants every year in order to help colleagues, either new to it or unable to get financial support from their institutions, to attend the conference. If you wish to apply, please forward your request to the Secretary at [log in to unmask] no later than Friday 5^th February 2016. Your request will be examined by an independent Grants committee. Grantees are requested to present a paper at the conference and are kindly asked to acknowledged MI’s subvention during the delivery of their presentation.

PRACTICALITIES:

The second circular and firm booking form to be released by mid February 2016 will contain more details with regard to accommodation, travel and other practical information, the academic programme and visits to institutions. They will be addressed only to those who have expressed their interest in joining the event by pre-registering online before 5th February 2016. The information communicated by the subsequent circular may be available earlier and if so, it will be posted on the MELCom International website which you are kindly asked to check regularly.

Note regarding entry visa to The Netherlands: Those who need letters of invitations to obtain an entrance visa to The Netherlands should write to the local organisers (Birte Kristiansen: [log in to unmask] and Arnoud Vrolijk: [log in to unmask]) at their earliest convenience.

The Netherlands are within the Schengen Zone and citizens of the EU/EEA and some other countries do not need a visa to enter The Netherlands. Please check with your nearest Dutch consular mission or embassy for more details concerning the visa regulations applying to your citizenship. You will also find more information on the Government of The Netherlands’ website: https://www.government.nl/topics/visa-for-the-netherlands-and-the-caribbean-parts-of-the-kingdom .

Conference fees: The conference fee of €35 for individuals and €80 for commercial participants will be collected in Euros during the registration morning in Leiden. Cheques are not accepted. Students enjoy free admission.

For indicative purposes only, the hotel fees in Leiden vary from 50 € to 100 € per night ; the excursion should cost around 50 € per person, and the traditional conference dinner would come at €45.

Please bear in mind that participants have to make their own travel and accommodation arrangements and meet their own expenses.

Tous ceux désireux de participer à ce colloque sont invités dès à présent à s’inscrire en ligne avant le vendredi 5 février 2016: toutes les inscriptions préliminaires se feront uniquement en ligne, grâce au formulaire disponible sur le site du Melcom International, sous la rublique « Conferences > Forthcoming > Inscription en ligne ».

Celles et ceux qui souhaitent y présenter une communication sont invités à joindre un bref résumé (10-15 lignes) de leur sujet au formulaire d'inscription en ligne avant le 5 février 2016. Nous vous rappelons que langues de travail sont le français et l'anglais uniquement.

Demande de bourse : Le MELCom International tient à faciliter l’accès à son colloque annuel aux collègues ne disposant pas de soutien financier de leur institution, et attribue ainsi chaque année quelques modestes subventions. Si vous désirez bénéficier d’une telle aide, veuillez soumettre votre requête à la Secrétaire ([log in to unmask]) avant le 5 février 2016. Votre demande sera examinée par un comité indépendant qui décide de l’attribution de ces bourses. Les bénéficiaires sont requis de présenter une communication lors de la conférence et de mentionner l’aide du MELCom International lors de leur présentation.

RENSEIGNEMENTS PRATIQUES

Une deuxième circulaire sera diffusée à la mi-février 2016 et comportera des renseignements relatifs aux informations pratiques (hôtels, transport), le programme scientifique et les visites aux institutions. Cette deuxième circulaire ne sera adressée qu'à ceux qui auront exprimé leur souhait de participer au colloque à l'aide du formulaire de pré-inscription en ligne et ce avant le 5 février 2016. Cependant il est possible que les informations de la deuxième circulaire soient disponibles avant cette date sur le site du MELCom International. Veuillez le consulter régulièrement.

Note concernant les visas d’entrée aux Pays-Bas: Les collègues nécessitant une lettre d’invitation pour l’établissement de leur visa d'entrée aux Pays-Bas sont invités à s'adresser aux organisateurs (Birte Kristiansen: [log in to unmask] et Arnoud Vrolijk: [log in to unmask]) dans les meilleurs délais.
Les Pays-Bas font partie de l’espace Schengen et en tant que tels, les ressortissants de l’UE/EEA ainsi que plusieurs autres pays sont dispensés de visa lors de leur entrée aux Pays-Bas. Pour plus d’information, veuillez consultez les services consulaires hollandais de votre pays de résidence et vérifier à temps les conditions d’attribution de visas pour les ressortissants de votre nationalité. Frais d’inscription : les frais de d'inscription -- de €35 pour les particuliers et de 80€ pour les participants commerciaux -- seront collectés sur place à l'ouverture du colloque. Les chèques ne sont pas acceptés. L'accès au colloque est gratuit pour les étudiants.

A titre indicatif uniquement, le coût du séjour d'une nuit d'hôtel à Leyde varie entre 50 et 100 € ; l'excursion de fin de conférence serait autour de 50 € et le dîner traditionnel du colloque devrait coûter environ 45 €.

Nous nous permettons de vous rappeler que l'organisation du séjour ainsi que les frais impliqués sont à la charge des participants.
