And some of us are facing huge numbers in November!

We have around 800 Maths and potentially the same for English - running with all 4 major boards.  It took 9 months to plan last summer's exams and now we have to do the same again, but with larger numbers, with around 4 weeks to go!

Eek! 

Last year, for the main room, we selected what we called a Super-Senior (our best invigilator) to coordinate the start/finish  - we then sectioned the Hall into grids of 30 and these were allocated to an Assistant.  For each 2 to 3 grids of 30 we then allocated a 'normal' Senior.

We also used pretty much all of our additional support team to provide the access arrangements - several in a classroom under the eye of a Senior invigilator.

The issue for FE colleges is that we inherit every student who didn't make the C grade at school and the numbers are enormous!

Hi Karen

Thanks for the advice appreciate it.

I have already re-done my training for invigilators and then will do another one for lead invigilators and group them into 'teams' so there is some (hopefully) camaraderie between them to do a good job.  We are closing the College on these days and am enlisting staff to invigilate.  Also need to look at exam access arrangements.  Thought I'd  make a meeting in early Nov after all our Btec registrations

Just to add last year at the AOC exams conference it was suggested that they prepared two papers to be available but apparently it takes them 18 months to write and prepare a paper.

I feel you need good communication and support with your leadership team to get your message across and also your estates team to assist with setting up the rooms.

I will be arranging a meeting in October to discuss provisional numbers, them again in February with an update, then in April we meet to finalize the rooming.  In between that I hold training for support staff who volunteer to invigilate.  Remember to have runners on hand as well these people are useful to put at the end of corridors in case toilet breaks are needed etc.....I called upon tutors for this role.

We sat down 900 + last year for GCSE English and 700 + for Maths.  We ended up cancelling classes and I had to train support staff to invigilate.  We used approximately 75 invigilators in the one session.  This will be our third year with large numbers so we are getting used to it.  I have already started planning now for next year looking at accommodation and how many invigilators I will require............

Hear hear!

The more of us that push for the boards to offer more papers then hopefully they will bend to pressure and comply.  If they want to maintain the level and integrity of exams with such huge numbers then this will be the course they will have to take.

Hi

This seems to be a re-occurring problem for FE Colleges especially for GCSE English and Maths, government policy has meant a change in the number of learners having to complete GCSE in English and Maths - last year we had about 400 of each, (which we thought was huge) but our College has decided to put anyone who obtain a grade E in English and Maths in to a GCSE class this year.  This means that we will approximately 1000 students to seat at once.

Anyone who went to the AoC conference last year may remember how we tried to pin the Awarding Organisations down and get them to print a variety of papers or give us a window to conduct the exams as we have had with functional skills.  Obviously they took no notice of us but I think we need to push for more flexibility with the English and Maths - we just cannot cope with these numbers!!!!

Hi Shirley

I don't envy you! I think split cohorts and supervision is done by a lot of centers who are short on space, however in this year's ICE book there is mention of centers needing to ensure they have adequate spaces for the size of cohorts they teach, and I'm certain this is a reference to splitting exams and a  mild slap on the wrist!

Needs must though!

Hi Everyone

Not sure what everyone may think about this.

I have pointed out our seating challenge and have come up with the suggestion to check if we could hold half our candidates under supervision and in isolation while the first lot take the exam and then we seat the second lot?

We are going to really struggle to seat everyone due to us not having any halls/gyms.  We only have our dining are that may seat 180 exam desks and then are down to rooms that will hold up to 30 learners each.  We have 750 candidates for English and a little more for maths.

What do you think?  Do you think JCQ will go for it?

Has anyone asked before?
