Archive Assistant - (51 week FTC )

Summary of the Role:

This post is designed as a post-graduate internship for someone who is looking for a range of experience before undertaking a qualification in archives and/or records management. It is a fixed term contract from 21 September 2015 for 51 weeks.  

Summary of the Team/Division:

The Archive and Records Management teams are both based in Threadneedle Street and are part of the Secretary’s Department. The primary responsibility of the Department is to support the Court of Directors and other key governing committees of the Bank.

The Bank of England Archive is one of the finest business archives in the country and is of national and international importance.  The Archive holds over 80,000 items covering all aspects of the Bank’s history and operations since it was established in 1694. As well as meeting the internal needs of the business, the Archive is open by appointment to external researchers four days a week. The team comprises the Archive Manager, who is an historian, five professional Archivists, and the Archive Assistant. 

The Bank Records Management team is responsible for maintaining and improving the Bank’s information management-related policies and guidance and the tools used to support them. This enables the Bank to meet its operational and legal requirements. Both paper and electronic records are managed by the team, which comprises the Bank Records Manager and two Assistant Records Managers.


Detailed Description of the Role: 

We are looking for a confident and enthusiastic person to take up a role assisting in the work of the Bank’s Archive and Records Management teams.  The post offers the chance to be involved in all aspects of the records lifecycle, from document creation through to destruction or transfer to the Archive.

The greater proportion of time will be spent in the Archive. Here the post holder will assist in running the public research services, which involves supervision, responding to written and telephone enquiries and the retrieval of material from the onsite strongrooms. There will be opportunities to participate in all aspects of the day to day work including: reviewing; cataloguing using CALM; conservation; a range of work designed to improve the Archive profile. Outreach activities will include helping to prepare for and host occasional group visits. The Archive works closely with other areas of the Bank, answering enquiries and undertaking research where necessary. 

On the Records Management side, the post holder will gain an in-depth understanding of the Bank’s records management database and electronic document management system to enable them to carry out routine maintenance work, ad hoc problem solving, and project work.  There will be the opportunity to shadow and support other areas of the team’s remit within the Bank including compliance reporting, the monthly Records & Information Administration Forum, and routine operations in the Record Centre.

The post holder will be able to develop relationships with colleagues at differing levels throughout the organisation. Appropriate training will be given and there will be opportunities to attend archive and records management related events.

Strong team-working skills
Good general IT knowledge
Interest in pursuing a career in archives/records management

Desirable
Experience of working with archives
Experience of dealing with the public
