Back in the good old days we would recharge a flat rate for all records centre activity at 36 pence per box per month (quarterly I think to keep Finance happy). This kept things simple. It also didn't discourage people from using a service because accessing their information might present them additional cost. Note: The drivers to use the records service came from office downsizing. Although a spilt storage and activity recharge may seem fairer, retrievals are of course costly to someone, the big thing to factor into to your 'sales pitch/SLA' in is the cost benefit to departments of timely disposal reviews. Here you will differentiate yourself from commercial offerings, especially if you can offer physical inspections as part of the review process. There is nothing more galling than paying a company £5 to delete a record of a box from their database, especially if you have already done the physical disposal yourself.

Subject: Onsite costs for storing boxes

Dear all,

I'm interested to know from those who have their own in house paper records store and make an internal charge to departments for storing their records there, how much you charge per box.  If a charge is made how has this been calculated?
