The MRC National Institute for Medical Research at Mill Hill will close in 2015 and transfer to the Francis Crick Institute. The Institute’s archives - dating back to 1920 - are of national importance, with records relating to an important period of 20th century biomedical science. The archives need to be appraised in accordance with MRC policy, catalogued and rehomed.  

We are now seeking a qualified and experienced archivist to work on this 12-month project. This project offers the opportunity for someone with initiative to help shape and make a real difference to an archive of national importance.

NIMR transition - project archivist

Overall purpose:

To support the delivery of the NIMR archive project through the appraisal, sorting, arrangement, cataloguing and promotion of the historical records of the Institute and the establishment and maintenance of effective relationships with project stakeholders at all levels.

 

Main duties / key responsibilities:

To appraise the historical records of NIMR and prepare preliminary descriptive records.
To advise the NIMR Archive Collection Review Committee on retention decisions.
To carry out the decisions of the NIMR Archive Collection Review Committee.
To prepare the documentation of appraisal and retention decisions and processes and draft standard operating processes as required.
To prepare selected material for transfer to other repositories.
To sort, arrange and describe the NIMR archive collections.
To ensure data quality and compliance with relevant specifications and national and international standards, including ISAD(G), AACR2, MeSH and LCSH.
To undertake risk assessments and reviews for data protection and other legal and ethical considerations, taking into account relevant corporate policies and repository policies, consulting as appropriate.
To re-house the records in preservation-quality folders and boxes.
If necessary, to organise secure destruction of material not selected for permanent preservation.
To identify items in need of remedial conservation treatment and provide recommendation for actions to take, in consultation with relevant experts.
To develop and maintain project management and communication plans.
To provide regular reports to the NIMR Archive Collection Review Committee.
To establish and maintain effective relationships with a wide range of organisational and individual project stakeholders, communicating appropriately at all levels; and in particular to facilitate a close working relationship between NIMR, MRC Head Office, TNA, and other relevant repositories.
To represent the project at internal and external meetings.
To answer enquiries about the collection from NIMR and Crick Institute staff, other researchers and the general public.
To assist in the promotion of the collection to academic and public audiences, undertaking any necessary background research into the history of NIMR, as appropriate.
To assist in the preparation of publicity materials about the history and archives of NIMR, both in print and on-line

Education / Qualifications / Training required:

Essential: First degree. Post-graduate qualification in archive administration or equivalent

Desirable: Registered member of the Archives and Records Association or actively working towards this. 

Previous work experience required:

Essential:

Track record of working in an archive environment
Practical experience of archival description using automated systems
Experience of the appraisal, sorting, arrangement and description of modern organisational records
Experience of managing projects
Track record of delivering work on time
Good understanding of ISAD(G) and other relevant standards pertaining to archival description
Proven understanding of the legal and ethical considerations relating to access to modern archival collections, including in an on-line environment
Practical experience of promoting archive collections to a range of academic and public audiences
 

 

Desirable:

Practical experience of CALM cataloguing software
Understanding of copyright legislation as it applies to archives
In-depth understanding of the UK Data Protection Act, 1998, as it relates to records and archives
Experience of writing for publication
