Just to re-iterate previous suggestions:

It might be worth individual trusts approaching their local County records office - as they may be interested in getting the paper copies and keeping them safe.

As for digital versions - HER's in some places may be interested, but again that would have to be locally agreed - eg we would be interested in getting copies of some of the information, and adding it to the HER, but wouldn't be interested in all of it.

As for the actual digitisation  - there are Archaeology Data Service guides on this, and they may be interested in any archives produced.

Subject: Digitising Archives - advice needed!

Hello All

Wonder if this most excellent Forum can help!? As you may know, we work with County Gardens Trusts across England to give them support and information towards their work on the conservation of historic designed landscapes.

We've had a number of queries about digitising their archives - they gather huge amounts of research information (which of course we encourage them to share with the HERs in a suitable format!), but this is reaching a critical mass in spare bedrooms and sheds...

For example, I have received this query from one county:

"We are looking to digitise our archives - journals, newsletters, minutes, accounts, photos, etc and I wonder if you could give us any guidance on what other Trusts have done or indeed if there's a regular supplier of such a service available via the Association.

Looking ahead to when we've converted from paper to digital, does the Association have a virtual database on which they could be stored, or is there another organisation that would like to add them to their database?  Again, any guidance on what other Trusts do would be much appreciated."

Neither the AGT or Garden History Society have such archive systems - only a lot of paper!  We'd be really pleased to receive your advice/ideas, essentially appropriate for really quite small voluntary organisations, or for some sort of central service that we might usefully look into, budgets permitting...
