We have one manager who is sooo bad when it comes to referrals because of the inappropriate comments that we keep sending them back but I have to say he has me in stitches at times.

·         ‘Can you confirm that there’s anything wrong with him because I am thinking of sacking him’

·         Could he have the same condition as ‘Mr ***** as he has the same symptoms?’

·         HR has asked me to refer him for a sprained ankle ‘I KID YOU NOT!!!’

My favourite ever though was a self cert when a guy had a couple of days off after Rhinoplasty. His comments were ‘I had a nose job to make me look more beautiful’ to which the manager replied in his comments ‘ He still looks f**king ugly to me’

Hi. Some of the HR managers used to give poor referrals and expected me to know the information they wanted. Working for the Company it was difficult to refuse such referrals and I did not want to create tensions They did not specifically tick the standard questions and had become very lazy. So I decided to write my reports copying and pasting any standard questions that had been ticked and answered these in the report. They soon realised that if they wanted answers to specific questions they had to ask them. This seems to work well. I used a template and have a particular page kept for phrases I have used previously. In this way I am certain that Hr are getting the answers they have asked and they cannot disagree!

I agree with Lindsey - writing a decent report is an aspect of customer care that we get judged on time and time again. The advice may be good - but if the report looks not so good thats what the customer will see.

With a tick box, you might initially save yourself some time but you stand a good chance of reducing the quality of your advice and costing yourself time and reputation in the longer term. If you have a good simple format of report and template, collection of stock phrases that you can weave in without it being obvious that you have done so and a reasonable command of English, writing a decent report should be fairly quick. I do though tend to bullet point or number the advice, which helps with speed and clarity.
