We have been using Aspire for about a year and a half and only have a very small number of archived lists but we use the archive option to remove published lists because there is no other option available.

Every list we have in the archive section is a list that really we would like to be able to delete completely. This causes a number of problems / concerns for us and one of the issues is around the concept of an archived list.

For me, and I am sure for many of our users, an archive is a store or a collection of documents / records and while this material is usually historical an archive often contains material that people want to access for various reasons. However as I stated above the lists we have archived are in fact lists we do not want anyone to see so this does not really match in with the idea of an archive.

It has been stated that these lists are not findable / will not appear in search results (and that does seem to be the case) but it is concerning that these are showing up for you on the community edition. Of course if people bookmarked the link to the list they could also still find them and we have in the past found times when archived lists have appeared in the results on our general university search page (although this was solved by Talis at the time).

Generally speaking a lot of our issues could be solved by giving us the option to delete lists completely. We would then perhaps use the archive to store lists that we would like to consult again in the future............although if we were to do this I think the terminology would need to be reviewed and perhaps the note at the top of the lists that says "this list has been archived" would need to be explained / expanded.

I think I may have veered off from your original question a bit and I apologise for that but I hope this is interesting to some people as well.

Subject: Concept of 'archived' list in Aspire world

Something for discussion on a Friday afternoon...

Now that we have been using Aspire for several years, we are approaching  1,000 archived lists - lists that we have set to Archive within Talis Aspire.  However,  as most of our lists have Access Control set to  'open to everyone' (although Licence is set to 'All rights reserved') our 'archived' lists are searchable and viewable on talisaspire.com  Community Edition.   We only recently realised this when we were alerted to the fact that our 'training' lists, although archived were all appearing on talisaspire.com!

For us lists are set to archive as an alternative to making them unpublished (as this is not an option in Aspire) or possibly deleting the list (in the case of the numerous training lists).  I have had to go through our old training lists and set the Access control to 'logged in users' only so that these are not open access lists on talisaspire.com.

I feel the concept of 'archive' is somehow being missed within  all of this and interested to hear how other libraries are handling lists on Aspire for previous years and thoughts on the impact of old lists appearing on Community Edition - isn't currency an issue here if archived lists are showing?
