Dear all

My previous e-mail has provoked a larger response than the first one, from people asking me to provide a summary of the responses I had. In hindsight I should have done that in the first place, sorry about that. So, here is a summary of the responses I had, and some links also:

Further reading includes The Oral History Cataloguing Manual by M Matters, 1995, E D Swain's article 'Oral History in the Archives: Its Documentary Role in the Twenty-first Century' in The American Archivist, 2003, D M Lee, Film and sound archives in non-specialist repositories, Best Practice Guideline 6 (Society of Archivists, 2001); available online at http://www.archives.org.uk/images/Film_BPG.pdf, and Alan Ward's A Manual of Sound Archive Administration

The majority of those who got in touch with me recommended I have a look at the British Library's website, on oral history recordings. Here is an example of some of their cataloguing work: http://cadensa.bl.uk/uhtbin/cgisirsi/x/0/0/5?searchdata1=CKEY4203035&library=ALL

Some other examples which I found especially useful include:

Norfolk Sound Archive (search AUD/5/1/3 for a good example of a cataloguing entry, also including a link to play the file)

The advice I've had is to make sure that I provide lots of details about the recording at item level, to allow the user to navigate through potentially lengthy recordings. A lot of technical information about the recording will need to be provided, such as recording details and the format of the available recording. Any sensitive information that needs to be removed from the recording should also be highlighted on the catalogue. With regards adding sound files, copyright clearance will be required before doing so, and MP3 and WAV formats seem to work well, although they can take up a lot of server space. Any problems with the quality of the recording, or damage the case/carrier it is in, can also be highlighted in the catalogue.
The next step for us at Lord's is to use Adlib to add a number of free-text fields to parts of the catalogue, such as 'Duration', 'Recording notes', 'Recording equipment', 'Copyright', and then create cataloguing guidelines in order to catalogue the audio material to a consistent standard. Then we can look at starting the cataloguing process.

I hope this e-mail helps. Thanks to all who e-mailed me. Have a good weekend.

Robert

Dear all

Further to my earlier e-mail I wanted to thank all those who have kindly taken the time to respond to the enquiry I posted last week. I have had some very useful and beneficial replies and seen some excellent examples of audio cataloguing which will greatly assist me in preparing to develop guidelines for cataloguing our audio archive. The next step for me will be to work with Adlib to make alterations to our software package, to reflect audio-visual requirements and include the fields we now wish to create. Thanks again for your help!

Kind regards

Robert

Dear all,

I am posting to ask if anyone has any advice or guidelines for cataloguing audio material that they would like to share with me? We are currently in the process of putting together plans to catalogue our audio archive, approximately 150 CDs of oral history interviews, using ISAD(G) as a basis. I have tried to find some examples online but without much success. If anyone could send me some examples or guidelines off the list to my e-mail address below, I would be very grateful.

Thanks in advance

Regards
