Hi We log it on our MIS system as we have a screen in the Exams section to record posting dates against their course/s of either full certs or unit certs plus a notes section in case we need to add additional info. We are currently running a new system where we text students using TextTools software so they can come and collect the certs to save on posting. This seems to be working well with about a 75% pick up rate. The software tells you if the text has gone through or not so we can see which students have changed their mobile no and not informed us!! This saves a lot of time rather than sending certs Recorded Delivery. We are going to run this over the summer too so that we can save money on Recorded Delivery costs as a lot of our students live fairly local to the College so can call in to collect their certs and it saves the hassle of when the Royal Mail "lose" them which is happening more often. Plus if no-one is in to sign for them they end up taking 3-4 weeks to come back to us. At the moments we create a posting list which has the students address and what certificate is being posted. This is then saved under the date it has been posted out in the correct month. The list is printed and the post office date stamp it for us. We create a separate sheet for each qualification but if the student has more than 1 certificate this is recorded on the same sheet. If a student then phones up to enquire where their certificate is we check our post list to see when it was posted and to what address. I just wondered how everyone felt about the importance of keeping a specific record of posting and how they did it.
