Ive just mentioned staff entering grades online for BTEC courses to our
VP....she laughed...so there is little confidence here in that, but the
feedback from you on this has been interesting !

Hi Amy

It works well doesn't it!  We are in a position where all are results
are in and on the in-house system, certificates ready for posting.  Not
quite got our feet up but almost there!

That's the theory that we used, they can just as easily make a mistake
on an SRF as on a screen, we don't check the SRFs one by one to ensure
that they have completed them correctly, they just get given to us and
we post them off.

It happened at a time when Edexcel were talking about getting rid of
paper SRFs a few years ago, and the solution was either we would process
them all online and cause a delay to the attainment, or give tutors
restricted access to process.

The Tutors write them on the SRF so what is the difference, audit trail
is by authorised log-on and access rights, and quality checks by HODS.

What you do with QL is awesome but we do not have the resources in Exams
to input the results, so like David we use a hybrid homegrown system -
in our case using Excel spreadsheets.

 

I am frankly shocked that anyone would let Tutors input results onto
Edexcelonline as there is no audit trail visible to centres as to who
enters what, hence the difficulty of validating the grades for audit
purposes would be massive.

That sounds quite impressive, what MIS system do you use?

 

For general info on the original question, we use a mixture of paper
SRFs and tutors completing the grades online with restricted access.

Hi Mark

 

This year we sent all out achievement claims in the EDIFACT  EDI format.

 

We imported reg numbers in to our MIS system, then emailed out group
SRF's. Curriculum completed the units numbers attempted and grades
achieved - and we set up a template that converted this to the EDIFACT
file format.

 

It has saved hours - especially in terms of filing the SRF's, and not
having to use Edexcel online during their peak periods.

 

We can then do a weekly import of achievement data by matching reg
number/ scheme code/ learning aim from the claim reporting section of
Edexcel online against enrolment data - then get MIS to bulk update the
achievements.

I'm waiting for my account manager at Edexcel to come back to let me
know what's happened to all of mine!  

 

I've sent off several thousand and simply don't have the resources to
input manually until Edexcel come up with a bulk upload solution (which
they've been 'working on' in all the yrs working as an EO - 10yrs+)

 

As a matter of interest how many of you in the Exams team do the input
and how many is it the lecturing staff?

We have the same issue here with SRFs that are still "in transit". The
whole process of using SRFs is unconvincing, so hopefully we will
complete our move online for next year.
 
I am always worried about deleting the ULNs to get things through -
presumably this results in the qualification record ceasing to be
attached to the ULN and hence invalidates the theory of the ULN linking
all the records together.

Im having the same panic with SRFS - we sent a couple of large batches
we sent end of June and still not showing. Edexcel say they have a large
backlog and cannot confirm if they have them!! Great!!
