What happens if a person leaves an organisation but their company email address is kept going and is still used by the company?  Is this covered by any rules and regs? 

 

Any advice appreciated.

You've answered your question - retention schedule is 2 hyears.  You should be more concerned with the handover process to a new member of staff.

Subject: retention of emails of ex-staff members

 

Dear colleagues,

 

I have received an enquiry about how long emails of ex-staff members should be retained.  (All our emails are automatically put into a vault after 6 weeks and then automatically destroyed after 2 years.)

 

Do colleagues close down email accounts of staff who have left after a certain time? 

 

I would be grateful for your input on this.
