We used to have a hard copy register but in about 2005 we started using an Access database only. We input our old accessions into it and continued from there.

The advantages are many, one being that our website design allows us to upload selected fields from the register onto the website so that the public gets to know about our collections before they are catalogued and the catalogues put online. We have a cataloguing backlog (doesn't everyone?) and this is quite an elegant solution. The Accession Register entries show up on our site under 'Recent Acquisitions' (www.archifdy-ceredigion.org.uk, select from menu in the left). If a collection has been catalogued, a link to the catalogue will also appear with the register entry.

We do not use CALM or any proprietary cataloguing software at all; too expensive and not enough staff/resources to retroconvert and then make good use of it.

Dear all,

 

We are coming to the end of our current hard copy accession register, and wondered what other people were doing to record incoming accessions. Currently everything goes in our hard copy register, and then into CALM as well. Does anybody just use CALM, and if so, do you print from here to obtain a hard copy register? On the other hand, is there anyone who doesn't use CALM, or other collections management software for this purpose and just relies on a hard copy?
