Dear All,

We're currently working on the new exhibitions for our Abbot's Hall HLF funded Redevelopment project and one of our ideas for the Garden Room is to have a wall covered with pictures of different types and uses of gardens in Suffolk. We're hoping to get these pictures by requesting submissions from members of the public, as a means of getting them involved in the project and of raising awareness.

At the moment, when we accept photographs we usually have a discussion with the donor about copyright and in many cases the donor doesn't know who took the photograph in the first place. As this project will see people taking photographs at our request or sending in photographs they have taken themselves, it is more likely that the photographer will be known and we're hopeful that we'll be able to get a better handle on the copyright issues surrounding this. We're not necessarily looking to get a full assignment of copyright made to us but rather the permission to use the photographs as we wish (including potential cropping/editing of pictures).

We would like to come up with an agreement that would give us the right to use the photos as we wish while not overcomplicating matters and putting people off submitting their photographs.

Does anyone have any experience of such a project? We don't want to put out the appeal and be inundated with images, have inappropriate paperwork and find that we can't ultimately use the images that get submitted.

Any thoughts or advice would be gratefully received.
