If you are referring to Subject Access under the DPA, we would not simply respond to an email request. We have a process that requires proof of ID etc. and would only use email to provide the requester with forms to complete for example.

If you are actually talking about FOI requests, then yes you can aggregate in some circumstances.

Where we have received similar (or identical) requests purporting to come from separate individuals, we use the provisions
of the Freedom of Information and Data Protection (Appropriate Limit and Fees) Regulations 2004 to aggregate these requests for the purposes of the Section 12 (appropriate limit) exemption of the FOI Act.

We then notify requesters as to whether the work involved in responding to these requests exceeds the appropriate limit, and if this is the case will ask them revise their request (s) to a more acceptable limit. They often go away at that point!

Subject: [data-protection] Aggregation - source of requestor (proof) / complex requests

I have received 3 different requests from different E-mail addresses ..however they are all composed/constructed in identical ways and are signed off a with variations of the same name. Each request is lengthy and [deliberately?] complex in their wording/structure:

1)    Is it possible (if required) to aggregate these requests as being from the same source? [what is sufficient proof that they originate from the same source?]

2)    To what extent can I ask the requestor(s) to resubmit the requests in a simplified format?

Best regards

Jamie
