Dear Colleagues,

 

Testing for the 2009 UCAS Data for HESA Transaction has now been completed. We have run checks on sample files and are happy to release the Transaction to Institutions.

 

It is estimated that the UCAS Data for HESA Transaction will be available from Wednesday 25 November. Once your Institution’s file has been generated it can be downloaded using odbc-link, xml-link or web-link.  The files are generated in alphabetical order according to UCAS Institution Codes.

 

Please be sure to download your 2008 UCAS Data for HESA Transaction before the date above as it will not be available once the new Transaction is generated.

 

After the UCAS Data for HESA Transactions have been generated for all Institutions, the flat files will be placed on the UCAS FTP server for those Institutions who prefer to receive their information in this format.

 

An additional message will be sent once the Transaction is ready for collection.

 

The following changes have been made to the UCAS Data for HESA Transaction this year:

 

1.     Unique Learner Number:  UCAS has been collecting the Unique Learner Number (ULN) since the beginning of the 2009 Entry Cycle.

 

The ULN is an optional field and is recorded for all applicants in all schemes. The field has a length of 10 characters and will be placed at the end of the Transaction after Parental HE (PARED). This field will occupy spaces 911 to 920 on the flat file.

 

There is no default answer for this question. A NULL value will be returned if no answer has been given.

 

2.     UCASAPPID: UCAS has begun to use an Application Scheme Code in conjunction with the UCAS Personal ID in order to create a new unique identifier to replace the UCAS Application Code. UCAS will be replacing the Application Code in the UCAS Data for HESA Transaction with the Application Scheme Code at future date.

 

This year both the UCAS Application Code (UCASAPPID) and Application Scheme Code will be included in the Transaction.

 

Application Scheme Code is a four character field and is mandatory for all 2009 entry applicants. The field has a length of 4 characters and will be placed after UCASAPPID. This field will occupy spaces 10 to 13 on the flat file.

 

3.     SOC2000 Codes: A new SOC2000 code has been introduced for 2009. Code 0001 is being used to represent “Information Refused”. This code has been introduced for applicants who have expressed they did not want to answer the Parental Occupation question in Apply. This code will already be present in cvRefPOCC in odbc-link and ReferenceParentalOccupation in xml-link.
