Records Specialist x 2
JOB SUMMARY
Iron Mountain are seeking a diligent, enthusiastic and dynamic person
responsible for providing technical records management knowledge to our
client. The successful candidate will determine and impose records
classification rules including retention and preservation rules for all
relevant formats of information created and processed through the clients
workflow. These positions require a detailed knowledge of records
management and developments in IT solutions for storage and retrieval of
information.
KEY TASKS
A thorough knowledge of records and information management.
The ability to scrutinise different operational systems and
workflows as used by the client.
The ability to identify any gaps or inefficiency in current record
management systems in use by the client and to recommend and
implement suitable solutions.
Monitor the capture, classification and indexing of records into
the records systems, to ensure all vital records are captured in a
controlled, structured and compliant way.
Introduce approved, and ensure compliance to, records management
document and information preservation rules.
Conduct regular reviews of clients records, as per the pre
determined retention schedule and policy.
To anticipate future opportunities and respond to ad hoc client
requests around the client's records policy wherever possible.
To produce regular and a hoc reports for clients.
To provide thought leadership on, training in records management,
to the clients key departments.
To foster a compliant records management culture through the
clients workflows.
EXPERIENCE & EDUCATION
Good GCSE grades (or equivalent) in at least 5 subjects, including
English and Maths.
A recognised records management qualification is desirable.
The ability to reconcile statutory and business needs.
Strong communication skills including verbal, written,
interpersonal and self presentation.
Good application software skills, e.g. Microsoft Office.
Ability to work independently.
Ability to handle differing responsibilities within accepted
timeframes.
Demonstrated problem solving skills.
Proven managerial skills, including HR, Quality and Health & Safety.
A member of the records management society.
