We are in the process of redesigning our school booking procedure. Currently our booking administrator takes bookings over the phone, puts all the details onto a confirmation form which is then sent out to the school. Ideally we would like to put more of the onus on the school to fill in the details and so reduce the amount of time our administrator spends on the phone. Our initial thoughts are to take a provisional booking over the phone and then send out a form for the school to fill in and return. Once this form has been returned we would send a confirmation e-mail to the school as sending out another form via the post would double our postal costs. How do other museums take school bookings and does it work efficiently?

 

I would be happy to collate responses and circulate if others are interested.
