Thank you everyone for the replies. I agree with the confidentiality issue, similarly to Paul, the contract I do everything has to go through HR who then have to justify it to management, so HR want to make sure the 2 half day sessions I provided a month are used productively. I've now done a very generic form that HR has agreed will be completed by the individual and placed in an envelope for me, so HR won't know what they are being seen for. Yes I know so why do they need a form. Keeps HR and management happy, (more a paper exercise - but it might initially mean more paperwork (yuk!), I can then use it for stats and try to get rid of the form at a later date. A report is provided for the HR file which simply states e.g self referred, issues discussed, no impact on deployment or give information if there is a minor adjustment which could help. However I disagree with Elaine as I think it is reasonable if a contract specifies that HR are gatekeepers to appointments, it is fine for employees to tell their HR what the appointment is for. Otherwise, you are in breach of contract if you see employees without them coming via HR. You can only provide a service that you are contracted to provide and sometimes this means that operational processes are not ideal. In these circumstances you are not breaking confidentiality as it is the employee disclosing to HR the reason for their request to see you. Of course it is preferable for employees to feel that they have unrestricted access to OH without their employer knowing about their attendance. It is therefore useful to negotiate with the client before signing the contract about the advantages of having a different model of service provision using Elaine's suggestion of recording and reporting on usage stats and outcomes. We have contracts where all appointments either for self or manager referrals are made through HR as we are only on their site 2 days per week. This works very well all round and encourages employees to have a dialogue with HR and their manager about their health and wellbeing and is also very convenient for us at it means that our time is not wasted when we are on their site.
