Dear Nick

Costs. Basically we didn't know what they would be because we had never done
it before and we didn't even know how many old reports had environmental
material within then (which I imagine is likely to be the case with many
SMRs). We went out on a limb. We had the environmental and finds indices in
our software and we knew that the environmental information was likely to be
much less than the artefactual information so when we were biding for money
(from the e-government budget) we chose to go for that. We asked for £2000
because it wasn't too much but we knew it would be enough to give us a
really good assessment of the situation. To be honest we blagged it -I would
have started if I had just got £200. We then started and were pleasantly
surprised as to how quick this was for the mass of our grey literature. On
the evidence of that I have made a rough estimate that I will need another
£1000 to complete the job. Although getting money is never easy we have
found that if you have a demonstrable product rather than an ideas it is a
bit easier. other counties may find it more or less expensive depending on
the amount of work that has been done.

New data is entered as part every day work by our HER Archaeologist who is
not a specialist. The old data was entered by our Environmental Assistant as
we needed him to assess how successful the procedure was.

This is kind of circular. If the data were on the form, the HER could
enter the data direct without going via the EAB, and the EAB could
upload the digital data from the HER.

The issue is getting stuff which won't have proformas into a system
(EAB/OASIS/HER/Whatever) so it can then be circulated to the others if
needed/wanted for easier incorporation. And the only answer to that is
via funding.

Vic - I'd be interested to know how you worked out the costs for your
project, that might be useful to help others quantify the cost per HER
and also at other scales eg this sort of backlog project may be doable
regionally?

Allan Hall has entered some grey literature. Coverage is better in the
North, where he has been researching sites as part of the production
of
Regional Reviews or environmental archaeology. He could add more grey
literature if it was sent to him, especially in a form that could be
entered quickly (e.g in the simple form format we have been discussing)

although of a high standard was in grey literature and therefore
(correct me
if I'm wrong) is not in the EAB index. Other counties will, of course
be

a better position.

Another option to deal with the backlog would be to use the data
already
present within the Environmental Archaeology Database (EAB). In
working
on the development of environmental terms for inclusion in HER/ SMRs
we
took the subject codes in EAB as a starting point and would hope that
it
would be possible in future to transfer data in this on-line resource
to
HER/SMRs. More on this later in the conference!....

Well the key question is how do you fund/prioritise this? IN NYCC
terms,
we have a massive backlog which we are coming up with a strategy for,
so
in theory we could input the data as part of that backlog entry.

However, as this backlog data will not be in a pro forma easy entry
data format, this would be more time consuming, as the information
would
have to be ferreted out of the text, and would perhaps be difficult
for
those of us unfamiliar with environmental and science data.

One option might be to pay a specialist(s) to go through the reports
and create pro forma for each report, and possibly even input the
data,
but this needs funding?

Perhaps another option is to get AIP to start doing this (ie proformas
for reports) as part of there rounds and upload the data via OASIS?

If no funding is available from eg an EH pot, then the issue will be
decided by each HER based on their own priorities and resources. Which
means coverage would probably be patchy at regional/national scales.
