Maybe you could devise a form for staff to fill in, thereby spreading the
load.

A simple form in plain language asking for the following should suffice:

Whose data do you hold? (this would give you a list of Data Subjects)
What do you hold about them? (Data Classes)
How is it held? (Computer/filing cabinet/card index/microfilm/video
tape/audio tape, etc)
Where did the info come from? (Sources)
Who do you pass it on to? (Recipients)
What do you use it for? (Purposes)
Does it go on our web pages or is it sent overseas? (Transfers)

Yes there will be a lot of duplication but if computer files are given a
reference name or number you should be able to sort out the information.
Obviously, central files such as those on mainframes and servers should not
have to be done - just the standalone ones.
