At the launch of the above report last week in Nottingham, which was
commisioned by the NFF Archives sub-committee and written by
Elizabeth Parker, an experienced records management consultant, the
issue of training in functional analysis was raised.
The functional analysis approach defines the common functions and
activities of an institution and identifies the information flows,
and thus the documentation produced and received within an
institution. It is not related to organisational structure and is
not affected by changes in it. It is highly relevant to the
development of an information strategy and enables the records
manager to be involved in information management at a strategic
level.
The tools and techniques involved are essentially an adaptation of
those used in business analysis and form the methodology by which
analysis can be carried out. The methodology can appear
complex but is strictly logical and to adopt the correct approach
some training is essential to learn the techniques involved.
Elizabeth Parker led a two day training session for three of the
Scottish Universities several months ago at Dundee. It was
considered by all who attended to be extremely constructive and
useful. With the knowlege gained during the training session we at
Dundee have now begun a pilot functional analysis programme within
the university administration.
We are considering repeating the training event, which will be
directly focused on HEIs, at Dundee University in September before
the start of the new session, when university accommodation will be
available. If you would be interested in attending please let me know
by 13 August at the latest. Please note that because it will be a
workshop numbers will be limited to 12.
