I have discussed this with our Treasury Manager and he made
the following points:
If the software is still in the development stages we would
prefer to receive the cheques in alphabetical order by
surname. It is unlikley that all students will be able to
quote their SSN and staff distributing cheques will find it
easier to file and retrieve by surname.
It is preferable to have the cheque at the bottom of the
remittance advice as your attached sample shows but it
would be helpful to have the cheque take up half of the
total page of the remittance advice - whatever its size.
This is because cheques have to be distributed to a number
of sites, then kept in order so staff can easily search
through to find a student's cheque. If the remittance
advice has to be folded 3 times it is easier for cheques to
get mislaid and harder to flick through and find the
appropriate cheque. One fold in the centre, along the
perforation, is the quickest way for staff to fold and
file the cheques and therefore pass them on to
students.
