The Cambridge Festival requires a freelance Event Coordinator to assist in the planning and delivery of family events at this year’s Festival.
The Festival is the University of Cambridge’s annual free public engagement festival. It shares with the public research from Cambridge and our partner organisations.
The role will require planning periods to enable event coordination ahead of delivery. This will include liaison with delivery partners and event participants. It will also require support and input into the wider Festival delivery team. The role further requires on-site coordination of delivery as detailed below.
Delivery is focused on two distinct family events within our wider programme.
1) A Family Day at the Cambridge School of Science and Technology - CAST (Saturday 18 March 2023).
2) A Family Weekend at the University of Cambridge’s New Museums Site (Saturday 25 & Sunday 26 March 2023).
The freelance coordinator will work in advance with delivery partners to ensure their requirements are known- and provided for on the day, (space requirements and allocation, equipment, AV and technical support) and that the Festival team is aware of issues raised, staffing and volunteer requirements. Programming has already taken place, venues are already booked, and marketing will be provided by the wider team. The freelance coordinator is focused on pre event coordination- and on the day event delivery.
Dates Between 20 February to 26 March 2023
Hours - 120 total
The expectation is that this role can be delivered within 120 hours of work across the dates outlined above. These are in two stages
– The planning stages 85 hours (20 February to 26 March)
- The onsite delivery stage (maximum) 35 hours as detailed below:
17 March (set up for next day) 4 to 6 pm (2 Hours)
18 March Event delivery 9-5 pm (9 Hours)
24 March (set up for next day) 12-5pm ( 5 hours)
25 & 26 March 9-5pm ( 18 hours)
Location
The freelance coordinator will be able to perform the majority of the planning stage of the role remotely and at a time to suit (20 February to 16 March) - and required to be on site in Cambridge for the event set up and delivery dates
The client will be expected to provide updates to the Festival manager, Family Coordinator and team, and to attend planning meetings if required. (These can be in Cambridge- or joined remotely)
Rate
The hour rate for this role is £30 per hour. The full invoice amount for the delivery between the dates above is £3,600
