Hi Holly,

Moving the records, editing the reference number and editing the slug are all separate actions in AtoM, which takes a bit of getting used to when you've been used to CALM!

For this particular scenario what you would need to do is:

Go to the Fonds and choose 'add new' at the bottom of the record - from here you can create your new Series 3 record.

Then go to Fonds/file3 and look for a button at the bottom labelled 'move' and this is where you tell AtoM which parent you want for the catalogue record. You search for the catalogue record you want as the parent, select it and then choose 'move here' at the bottom.

Once the record has successfully moved (go to 'Jobs' to confirm this), you will then manually edit the Reference Number and the Level of description (if required) in the catalogue record of Fonds/file3. Then go to rename and manually update the slug.

If your slugs are automatically generated from the reference number, and you're doing a large amount of this then you can re-generate all the slugs to update them, but for a few like this it's easiest to do it manually.

Best,

Anna

Subject: Changing 'level' for existing catalogue records

Hello,

I've recently joined an archive service which uses AToM, and come from a background of using CALM. I wondered if anyone has any experience of changing the level of records already in AToM? This is quite easy in CALM, as you can just change the level field and update the reference number, and as the arrangement is done from the reference it automatically gets put into the new place in the tree structure correctly. However, I can't find a way to update this in AToM so that the tree is correct.

I'm looking to update an existing catalogue entry, which currently has the following structure:

Fonds

   Fonds/series1

      Fonds/series1/file1

      Fonds/series1/file2

      Etc.

   Fonds/series2

      Fonds/series2/file1

   Fonds/file3

   Fonds/series4

      Fonds/series4/file1

   Fonds/file5

etc.

I'd like to add in a level for Fonds/file3 and Fonds/file5 so that they sit underneath a series and not directly under the fonds - so in essence, I'd them to become Fonds/series3/file1 and Fonds/series5/file1 respectively. I can update the reference number without a problem, but I can't work out how I can go back and add in a series that they can then sit underneath - the tree arrangement seems to stay the same.

I think I perhaps I need to be able to edit the slug for the URL, which doesn't change when I update the reference, but I can't see a way to do this.

Does anyone have any experience of doing this kind of editing in AToM? Is there an easy way to do this? Any help would be much appreciated.

Thanks!

Holly Waughman
