We have also been looking at this recently relative to both our offsite records management and our confidential waste arrangements.
There are 2 documents produced by the British Security Industry Association (BSIA) which we referred to:
- Information Destruction BS EN 15713:2009 - a complete guide (2018), and
- Information Destruction in the Public Sector (2015)
which both highlight the fact that BSEN 15713 compliance is about a lot more than shred size, so say compliance must be incorporated into a supplier’s ISO 9001 quality management system.
The optimum shred size required will depend on a number of factors, including the category of documents you wish to shred.
The above guidance documents don’t state explicitly which shred size should be used for which government category of documents – this is only stated explicitly in the Centre for the Protection of National Infrastructure (CPNI) standards for SECRET and TOP SECRET documents – not specifically for OFFICIAL, which incorporates most standard government business. Both the above documents refer to the fact that the UK information destruction industry is aligned behind the a maximum shred cut of 16mm for “commercial confidential shredding” of OFFICIAL documents; and one of them also refers to a BSIA recommended surface area not exceeding 800mm2. However neither of these documents refer explicitly to OFFICIAL-SENSITIVE; so if you have documents that fall into that category then you need to take a risk-based decision. I know that at least one of the major UK confi waste contractors normally uses 16mm shred size unless contracted on special terms.
