We are undertaking a review on the preparation of our exam question papers for the May/June exam period. Very briefly our process is below:
Oct
* Exams team send out information/guides to Schools to aid them with their exam paper creation process
Oct - end of Jan
* Schools create papers, have scrutiny panels/meetings in the Schools, send to External Examiners for comments
* Schools send final copies of first sit and resit exam papers to the Exams team (via OneDrive)
Feb
* Exams team chase up for outstanding papers
* Exams team do cursory checks of every paper (first sit and resit), raise queries with Schools, Schools revise papers and resubmit
3 March (after exam timetable publish)
up to start of main exam series (15 May)
* Exam team send batches of exam question papers to Print Services
* Copies of exam papers provided to Exams team
* Exams team do cursory checks to ensure correct amount has been printed (errors with Printing do occur)
* Exam team prepares exam venue packs
o Each exam has a variety of venues associated with it (extra time room, IT room, individual invigilation rooms, main cohort rooms). Each set of venues for each exam has a secure exam pack created for it which includes the correct amount of exam papers for the particular room.
o In addition to the above which relates to "standard" exam question papers, there are also a range of concession papers (bigger font, coloured paper, exam papers that have student registration number on them, etc). All of these papers must be packed separately to ensure it correctly gets placed in the correct venue for the correct student

For ease the questions are:
* How many weeks (or months), prior to your main exam series is your paper submission deadline?
* Do you check the papers for errors after you have received the papers by the deadline?
* How many exams are scheduled in your main exam period?
* Are your papers created ....
o Centrally?
o By Schools/departments?
o Other? (eg external company)
o Using Bespoke software
* Is there push back from your academic colleagues (requiring more time for them to produce/consider/scrutinise)?
* How many months prior to the main exam period are the exam question papers sent to your Externals for consideration?
* Do you receive pushback from External Examiners (over burdening them with workload etc?)
* Do you ask for first sit exam papers and resit exam papers at the same time?
* Do you have any other comments about the process?
