I have added the Utrecht University policy to the google excel.

And added the link to the overview of RDM in practice in the Netherlands, which contains the links to policies of all Dutch universities.

Best regards,

Annemiek

Subject: Institutional level research data policy

Dear Colleagues,

Here at the EUI, we have a Library Research Data Guide<https://www.eui.eu/Research/Library/ResearchDataServices> which helps our scholars navigate the cycle, and prepare data for our repository. The guide is detailed and practical - but is not a 'policy' document.

The university is now considering a more 'top-down' policy document on research data in general.

Do any of you have an example of such an 'institutional' policy document?

Many thanks in advance,

Thomas

Hi All,

I thought it might be useful to collate these somewhere for future reference, so I've started to, here: https://docs.google.com/spreadsheets/d/1SOWOz4GGxVgPJDrLeTxR0oJjqUpjtHdlV85_SJgn0YA/edit?usp=sharing

Please add your policy if you have one. The spreadsheet is very rough and ready so if anyone wants to make improvements please do so.

Best wishes, Danny

To be eligible for submission to REF2021, authors' final peer-reviewed manuscripts must be deposited in the University's Research Information System (RIS) as soon as possible after acceptance and without exception by three months after the date of publication. This is the date on which the publisher's version of record becomes available online or in print, whichever occurs first.  For the avoidance of doubt you are also encouraged to add proof of acceptance to the RIS using 'other files' .

See the guide 'RIS Open Access Essentials for REF 2021' at

To be eligible for submission to REF2021, authors' final peer-reviewed manuscripts must be deposited in the University's Research Information System (RIS) as soon as possible after acceptance and without exception by three months after the date of publication. This is the date on which the publisher's version of record becomes available online or in print, whichever occurs first. For the avoidance of doubt you are also encouraged to add proof of acceptance to the RIS using 'other files' .

Postscript: I should also have noted the wealth of policy-development guidance available via the DCC page at http://www.dcc.ac.uk/resources/policy-and-legal/policy-tools-and-guidance/policy-tools-and-guidance

A decent place to start might be (ahem) Donnelly, M (2014). ‘Five Steps to Developing a Research Data Policy’. DCC 'Quickstart' Leaflets. Edinburgh: Digital Curation Centre. Available online: http://www.dcc.ac.uk/resources/policy-and-legal/five-steps-developing-research-data-policy/five-steps-developing-research

Here at the EUI, we have a Library Research Data Guide<https://eur03.safelinks.protection.outlook.com/?url=https%3A%2F%2Fwww.eui.eu%2FResearch%2FLibrary%2FResearchDataServices&data=02%7C01%7Ceconlibrary%40EUI.EU%7C222ce4edf2a248a62d8608d6fba770c0%7Cd3f434ee643c409f94aa6db2f23545ce%7C0%7C0%7C636973093933934363&sdata=5dmHavGYS0pg9DGi6LNHEkbB9mqdkswL%2Bi7t9Kk2Hyw%3D&reserved=0> which helps our scholars navigate the cycle, and prepare data for our repository. The guide is detailed and practical - but is not a 'policy' document.

The university is now considering a more 'top-down' policy document on research data in general.

Do any of you have an example of such an 'institutional' policy document?

        Many thanks in advance,

Dear Danny, dear all,

It might be useful to add a column for country in the Google Docs as

data policies depend very much on national law. We have an overview of

German institutional data policies on this website:

https://www.forschungsdaten.org/index.php/Data_Policies#Institutionelle_Policies

Best,

Kerstin

Hi All,

Thanks Martin for the heads up re: the DCC resources, very useful. I've added it to the spreadsheet, but think a newer editable sheet still has merit as anyone can update their details as necessary. The first link I tried on the DCC page was my previous institution, Imperial, and the link gives a 404. A less formal doc basically just for ourselves might be handy anyway.

Kerstin, good idea, I've added a column for country. If anyone wants to add other columns/features etc to the sheet please go ahead.

For the avoidance of doubt you are also encouraged to add proof of acceptance to the RIS using ‘other files’ .

Dear Danny, dear all,

It might be useful to add a column for country in the Google Docs as data policies depend very much on national law. We have an overview of German institutional data policies on this website:

https://www.forschungsdaten.org/index.php/Data_Policies#Institutionelle_Policies

Best,

Kerstin

Subject: Re: Institutional level research data policy

Thanks for the mention Martin! Data for that resource are available

through the UK Data Service: http://doi.org/10.5255/UKDA-SN-851566

though I'd imagine a number of the links are now dead and policies

revised (also it focused only on the UK, though I hoped to include

some international examples) so it's good to see someone picking up a

similar task. Thanks.

One thing I would advise anyone writing an institutional research data

policy is to scope how it fits into existing institutional policies.

At LSE much of the policy was based on fitting into existing policies

on Information Security, Open Access, Research Ethics, and Data

Protection. Also, I think if I was starting again today, I'd frame the

policy in more of an open science approach - a term that wasn't so

prominent in 2014.

Best of luck Thomas.

Thanks,

Laurence

Dear Thomas,

It sounds like the approach we took at the University of Bath might work well for you. We have a high level Research Data Policy, consisting of 13 principles. Each principle is supported by operational guidance that provides more detail about what the principle means. Researchers are then supported in complying with the policy in practice by our Library's research data management guidance and programme of training workshops: https://library.bath.ac.uk/research-data/home

Both the Research Data Policy and operational guidance are licenced for re-use under a CC-BY 4.0 licence and can be found at https://www.bath.ac.uk/corporate-information/research-data-policy/ (with links for each principal to the guidance at https://www.bath.ac.uk/guides/research-data-policy-guidance/)

Kind regards,

Cathy Pink

Dear Colleagues,

Here at the EUI, we have a Library Research Data Guide<https://www.eui.eu/Research/Library/ResearchDataServices> which helps our scholars navigate the cycle, and prepare data for our repository. The guide is detailed and practical - but is not a 'policy' document.

The university is now considering a more 'top-down' policy document on research data in general.

Do any of you have an example of such an 'institutional' policy document?

Many thanks in advance,

Thomas

I've added columns for those who are subject to the policy: faculty, graduate students, and/or undergraduate students. Some of the policies I've seen only apply to graduate students and not faculty or undergrads. Should we also add staff? Are the categories "graduate" and "undergraduate" meaningful terms for the EU?

Best,

Kerstin

Hi all,

This is a really interesting discussion.

We in FAIRsharing* will soon be inviting submissions to our data policy registry for these types of institutional RDPs so this is perfect timing. If discussion moves off the list please could I be kept in the loop?

Thanks and happy weekend all,

Pete

Thanks, Michele.

Looks good. 'Postgraduate' is also widely used. But 'graduate' is clear.

Perhaps 'staff' would not be necessary, as you have the academic categories covered.

Best wishes,

Thomas
