DESCRIPTION OF DUTIES
Overall Purpose:
The Archivist is responsible for the management of the Institutions archives and associated historical collections including artefacts, paintings and models. This includes setting strategic goals for the service, cataloguing, delivering projects and promotion of the collections.
KEY PERFORMANCE AREAS
Archives: responsible for all matters concerning the Institution’s historical collections such as storage, policy and procedures, cataloguing and use. Responsible for volunteers when relevant.
Enquiries: answering historical enquiries and tracking enquiry progress. Undertaking tours of the building.
Databases: responsible for the DS CALM archive catalogue. Using PastView to maintain IMechE Virtual Archive. Via Archives Hub, managing EAD descriptions. Participating in database development where necessary.
Website/ digital tools: liaison for archive areas of IMechE website. Monitoring our holdings on Ancestry, developing these as appropriate. Managing our Virtual Archive, presence on VADS, WWI exhibit and various picture libraries. Managing the archive blog and working with IMechE Marketing Department to promote our holdings. Developing online exhibitions.
Articles and displays: writing articles on historical engineering topics for Professional Engineering magazine (approx. 8 pa). Contributing to internal newsletters etc. as requested.Creating themed displays of the Institution’s archive and historical collections. Managing loans.
Conservation: responsible for the preservation and conservation of the Institution’s archive and historical collections. Managing valuations for insurance.
Accessions: responsible for administering, cataloguing and promoting donations and for liaison with donors of existing and new holdings. Responsible for the completion of the annual accessions return to the National Archives.
Special projects: involvement with special projects such as exhibitions. Identifying opportunities for project work with external partners.
Digitization: selecting, preparing and arranging for the digitization of archival and library material as required. Storing and managing digital images.
