Further to my earlier post, we're currently in the middle of a vast project dealing with the entire array of our archive. We've made a lot of changes to how we deal with these items, all set up to batch process information into the HBSMR Library Link system, and are working through everything by category (material type and scanning requirements). We have been undertaking a project to get volunteer assistance with scanning images – which has proven very helpful, although there are still plenty to do. And through our annual work programmes, HER staff have been systematically working through the digitisation of grey literature and linking to our HER site and event records, although again, this task is not quite complete. Because we are in a lucky position and have space (at the moment) to store hard copy records the pace of digitisation is manageable in this respect.
However, I see the biggest problem as the solution to our other paper records – those files containing ad-hoc information from a variety of different sources that may comprise documents, reports, images etc. These could not be easily farmed out to external contractors without a very clear strategy as to how to deal with each type of information, bearing in mind they would be likely to have different digitisation requirements and potentially subject to different data management rules. If anyone has tackled this sort of HER hard copy information I would be interested to hear more about it.
