Here in the US it depends on state and federal regulations (in addition to university policy) as to how long notebooks, etc are kept. I know of one group who has been doing work for the US FDA since the 70's and can never get rid of their notebooks - even though FDA has the digital copy. Our archives is running out of space, which reminds me you may want to speak to the folks in archives. I go to them to ask questions about keeping stuff since they are doing the work. Other offices have people rotating in and out so may have to go search for the answers.

We hold old lab notebooks in our library and this is the formal retention policy as developed by our former Compliance Manager taking into account relevant legislation:
"The Lab notebook guidance and procedure states that the LNs should be retained for 30 years where the work involving chemicals is reported and period is 40 years for work involving known carcinogens. For projects undertaken under our ORETO licence (licence to undertake efficacy studies on pesticides), LNs must be retained for the duration that the product is registered for use in the EU. "
However, in practice we are defaulting to 40 years due to be safe.
