This discussion just goes to prove how useful and valuable JISC Mail can be in widening a discussion regarding a very full range of helpful input.
For me the key messages is to get the relevant document in your hands so that you can cover your own backside with it

Good extra detail from Neil, especially re: the docs accepted for those who don't have passports.
I just wanted to pick up on a couple of queries I saw come up:
- "If people are already employed by a UK uni, surely they don't need to be checked again?" Makes sense in theory, but in practice it relies on the original employer getting things right in the first place - if not, one error could give somebody a free pass for the rest of their working life. It also falls down if somebody has substantial length of service with one institution, as it may be that the current employer isn't up-to-date with their internal audits, and so does not hold any documentation at all as the person was employed prior to the requirements being introduced.
- "You only need to check if you have suspicion that somebody doesn't have right to work." This is the classic text book way to find yourself in front of an employment tribunal defending a discrimination claim - sadly in practice the people who usually get asked for proof under such a system have a different skin colour, and we all know what the Equality Act says about treating people differently based on that.
I hasten to add that anybody who saw my P60 for last year really couldn't accuse me of being a bloated bureaucrat! :)
