I'm currently working on a project at the Centre for Chinese Contemporary Art (CFCCA) in Manchester to set up their archive and library, including cataloguing their collections, digitizing the archive and getting the catalogue online. I'm using an open source collection management system which I should be able to configure to both archive and library documentation standards. After the project ends in March 2018, the library and archive will be run by other members of staff in the organisation.
I'm looking for advice on how to process the library collection. I understand the basics of library collections documentation but I've never done it in practice. The library collection (approx. 500 publications in different formats) mostly comprises exhibition publications and artist's monographs relating to contemporary art, especially Chinese contemporary art. The publications are quite rare and come from exhibitions in various countries around the world. I'm working to a very tight budget and, as I'm working part time, the majority of the cataloguing will be done by volunteers. In the future, cataloguing will be carried out by staff/volunteers with no formal library/archive training.
I've researched various standards and classifications schemes available, but I'm not sure what my best option would be. Which ever system I go for needs to be straight forward enough to be used by volunteers/staff; suitable for long term collection documentation; and not involve any excessive costs for licensing etc. Are there any other archives out there with small library collections who would happy to share how they catalogue their library collections?
