At Middlesex we hold our ceremonies in July and invite students on the basis that they are due to complete by June. All students who have been awarded their degree from September of the following year up to March are included along with those expected to complete by June (the names have to be submitted to print in May). If students defer or have to resit work and are not awarded we would still include their name on the book and in subsequent books while they are deferred or until they are awarded (which means students due to complete in June this year would be in the 2016 gazette, if they then have resits and get awarded in September they would also be in the 2017 book). If students choose not to attend and then want to attend a year later for example we wouldn't add their name.
Some students can end up in the book for a number of years however we do have a disclaimer advising it is a list of expected graduates not actual graduates.

We are still struggling with our move from January ceremonies being replaced with July & November. We have students who have been invited to July but we have said we will allow a deferral to November. Our practice would still be to put them in the July ceremony booklet (we never put them in another booklet if they couldn't make a January ceremony and came the following year- we just made sure they had a copy of the one with their name in too). However students are complaining they will not be in the November booklet. When you allow deferrals which booklet do you put them in or would you put them in both?
Look forward to hearing from you - ceremony this July and still no reports ready to provide us with our brochure!
