FWIW, at the NPG we did this slightly backward (in that we already had an
online collection, which includes records which are not yet illustrated). So
we were able to use this as a conveniently http-accessible source of metadata;
and just had to first make a tool to do batch re-processing of the existing
web images, and then incorporate it into the workflow for future processing.
The tool includes a set of editable fields, which can either be given a canned
value (eg the gallery's address) or a value from the dynamic metadata.
We explored various ways for the tool to actually do the work of embedding the
metadata, and originally hoped to use the open-source command-line "exiftool";
but found after experiments that although it appeared to work, something about
how it does it meant that only some of the applications we tested picked up
the metadata which it embedded.
In the end, since the staff were doing the work on Mac anyway, the most
satisfactory result came with the tool using Graphic Converter, a venerable
Mac application, to embed the metadata via AppleScript. It's not as elegant a
solution as I'd like, but it works fine, and the results seem to be robust.
One-off license fee approx £25/station.
Mind you, this was at least seven years ago, and exiftool may well have
improved since.
