Donald,
This is a good overview of the issues. http://thinkingrecords.co.uk/2013/06/12/how-long-should-an-e-mail-account-be-kept-after-a-member-of-staff-leaves/

I've got a complementary outstanding task to document a process to stop such stuff being deleted prior to a key employee leaving the organisation! I too would be grateful for any information or guidance.
Thanks

Subject: Data Management - Leavers Process
Pnawn da/Good afternoon
I was wondering if anyone has a document outlining the process involved when a member of staff leaves your organisation and in particular a process relating to their data held in mailboxes and home directories? We're looking into having a process where managers are given automatic access to a leavers data before they leave and therefore I would be grateful for any information or guidance.
Diolch yn fawr/Thank you
