Just some simple practical points I wish I'd known before we started.
If using multiple projectors that need to line up video try to convince people to use overlapping instead. We have a really popular film that uses two projectors that line up and keeping them both level is a pain. Our staff adjust them at least once a month.
Have a "dry run" with a portable projector and colleagues/volunteers acting as visitors to make sure nothing is obscured by visitors walking past.
Similarly test audio for sound bleed with the producer there. Volume that suits an artist may drive a receptionist mad!
Make sure front of house staff can easily switch things on and off, ideally with controls in the gallery.
