Subject: Secure Exam Paper Production
Good Afternoon,
Here at Brunel University London, we have been asked to consider producing/ printing exam question papers as part of Registry’s service. This would be a move away from current practice where papers are produced locally within departments by admin staff and delivered to the exam venue by either the admin team or an academic.
We would be interested in knowing the following;
What is your current practice?
Faculties provide a master copy of the exam question paper with a tracking/sign off sheet (they are tracked through the various processes eg formatting, sending to external examiner, etc) and they are brought to us in the central exam team. We then start records in Excel and track them through the printing process. They are taken to our own in house print service who print the requisite numbers, and (and this is important!) count them into the required batches for different venues. They then shrink wrap them for us, and we stick A4 size labels on the front which we have printed with the exam and venue details. Security services transport the printed batches from the print unit back to us where we store them securely.
How secure do you feel your process is? See above - very secure
How many sittings (students x exams) do you have in a year? Three sittings, many thousands!
How large is the team that delivers this service? It's down to one person in my team, plus staff in Faculties, and our own in house printers.
Is the physical production carried out within a central team or by a professional print department/company? In house printer
What have you found problematic? Nothing - works very well
What have you found to be of benefit? Very quick turn round times, especially if there are late changes to a paper.
If you have recently changed practice (in either direction) or considered it, What prompted this and how has the change worked? The shrink wrapper and being counted by the print unit has been a life saver! We used to do this manually and it took weeks!
